Data controller and contact

Data we collect

Depending on the contact method and form you choose, we may collect your full name, company or property name, phone number, email address, location, type and approximate area of the premises, preferred timeframe or frequency, a description of your enquiry and, optionally, photographs, a floor plan or other supporting files. Basic technical data needed for website security and operation may also be processed.

How the forms work

The dedicated Hospitality, Projects and Business Care forms send submissions through Wix Forms. A submission is recorded in the website management environment and can be accessed by authorised HELLAS CLEAN users. The general Contact-page form works differently: it creates a pre-filled email and opens your device’s email application; the message is sent only if you complete the sending process yourself.

Purposes and legal bases

Data is used to receive and assess your enquiry, communicate with you, prepare a possible proposal and, if a working relationship proceeds, manage that relationship. Depending on the circumstances, processing is based on taking steps at your request before a possible contract, performing a working relationship, compliance with legal obligations, and HELLAS CLEAN’s legitimate interest in managing and protecting its business communications and website. Enquiry details are not used for marketing messages without a separate lawful basis.

Retention

Data is kept for as long as necessary to assess and manage the enquiry or working relationship and, where applicable, for periods required by tax, accounting or other legal obligations. Where no specific statutory period applies, the status of the enquiry, the need for continued communication and the establishment, exercise or defence of legal claims are considered.

Recipients and service providers

We do not sell personal data. Access may be provided only to authorised HELLAS CLEAN personnel and providers needed for hosting, forms, security and electronic communications, such as Wix and the email provider, to the extent required to provide their services. Cookies and technical mechanisms

The website and hosting provider may use technical mechanisms required for operation, security and protection against misuse. If non-essential measurement or advertising technologies are enabled in the future, this notice and, where required, the cookie-choice mechanism will be updated before they are used.

Where provided by the GDPR, you may request access, correction, deletion, restriction of processing or portability, or object to processing. Where processing is based on consent, you may withdraw that consent without affecting the lawfulness of earlier processing. Information confirming your identity may be requested to protect your data.

Complaint

If you believe that processing of your data infringes applicable law, you have the right to lodge a complaint with the Hellenic Data Protection Authority.

DIA — artificial-intelligence assistant

DIA is an artificial-intelligence assistant, not a human. A notice and a visitor choice are shown before first use. DIA is optional; telephone, WhatsApp and the contact form remain available.

When DIA is used, conversation audio or text may be recorded, transcribed, stored and processed to provide, secure and improve the service. Processing may involve HELLAS CLEAN, ElevenLabs and necessary artificial-intelligence technology providers. Do not share passwords, card details, health data or other sensitive personal information.

DIA usage analytics are limited to technical events such as opening, connection, errors and a duration category. Conversation content is not sent to analytics tools. Any service-enquiry request after the conversation is submitted separately and does not automatically transfer the conversation content.

Retention and deletion options depend on active provider settings and the needs of handling the enquiry. You may exercise your rights using the contact details in this policy.
